Nominating Committee

Elections for the members of our Executive board are coming.  Whether you are involved within the PS3 community already or you want to take a more active role in making our school better, take the plunge and run for a position. Here’s what you need to do to throw your hat into the ring.
  1. Let a member of the nominating committee know you’re interested.
  2. Send one of them a brief introduction of yourself including the name and grade of your child or children at PS3 and describe why you’re interested in running.  Please also include a photo of yourself so the school community can get to know who’s running before the elections. These will be posted on our website.
  3. All Nominations will be submitted by the May General Membership PTA meeting
  4. Elections take place at the June General Membership PTA meeting. Note: a candidate for a position need not be present at the time of election to be eligible to run, though it is highly recommended. Please make every effort to attend or advise the nominating committee if you will not be there.
Here is a brief summary of the duties of Executive Board members. For more details, feel free to check our bylaws or speak with one of the current board members for the inside scoop.

Executive Board

The Executive Board consists of the PTA officers (Presidents, Treasurers, Secretaries and Vice Presidents) and 2 to 6 Members-at-Large. All members of the Executive Board are obliged to attend monthly Executive Board meetings where issues regarding PS3 and specifically the PTA are discussed. Each member of the EB is entitled to one vote. Members of the PS3 community come to the Executive Board if they have questions, ideas or suggestions, want to create a committee, or need help resolving issues that come up within the school. Sometimes EB members attend via a conference call number but it is far better for everyone to meet in person at PS3. A lot of business is taken care of through email, so as an EB member, expect a fuller than usual inbox.
In general, it is helpful if two people share the officer positions listed below but it is not mandatory.

President/Co-President

Presidents are the general overseers and facilitators of PTA business. They run Executive Board and General Membership meetings. They are our main ambassadors to our Principal Lisa and have regular meetings with her to discuss what’s going on at PS3 and how the PTA can help. One of the Co-Presidents attends monthly District 2 Council meetings. One of the Co-Presidents is a member of the School Leadership Team. PTA Presidents are also co-signers of all checks written by the PTA. Don’t feel you need to be an expert on everything PS3 to jump into this position – you’ll learn on the job.

Treasurer/Co-Treasurers

The Treasurer/Co-Treasurers keep track of PTA income and expenditures and helps create and maintain budgets and make financial statements available when requested. They present updated budgets at every EB and General Membership meeting. They also prepare and provide the January 31st interim and June annual financial accounting reports. One of the Co-Treasurers is a co-signatory on checks issued by the PTA along with one of the Co-Presidents.

Secretary/Co-Secretary

The Secretary/Co-Secretaries take the minutes of Executive Board and General Membership meetings and keep track of correspondence and documentation of the PTA. They make sure PTA contact information and regularly scheduled meeting times are posted in the lobby and on the website. Basically, the Secretary positions are the communication hub for the PTA.

Vice Presidents (2 positions)

VPs participate in the discussion at Executive Board meetings and help to facilitate the business of the PTA. They assist the Co-Presidents and take over the duties of the Co-presidents should one of them be absent. If a co-president needs to leave the position, the VPs may fill the vacancy without a special election. The VP positions are important leadership roles and the expectation is that parents in these positions are active throughout the PS3 community.

Members-at-Large (2 – 6 positions)

Members-at-Large participate in the discussion of Executive Board meetings and help to facilitate the business of the PTA similar to the VPs. One of these positions will be reserved for a parent new to PS3 in the fall of 2013. This is a great place to start if you are interested in really knowing what’s going on at PS3 and are willing to take an active role to make our school better.
